Club Emails and SMS
One of the biggest requirements of being a successful club is good communication. Sure, members can look at your website and eventually find what they are looking for, but often they need a push. WIth our system, you can easily send a club email to every member in your club, or a subset of your past or present members with just a few mouse clicks. Emails are personalised and sent out as individual emails, safe and securely... and logged.

Association Level
Associations using our system have read access to most of the Player and Team Data, excluding any financial data. Associations can suspend a player, and there are numerous reports available, such as detailing players that have registered in multiple clubs. Various search options are also available (ie by name, emailID, phone number, ID number) making it easy to find a player without knowing what club the player plays for.

Player Admin
Securely register or reregister players, access members records, check members history, financial standing, grade them, add comments etc. Automatically generates useful time saving reports and statistics. Export data to csv files or Photos to ZIP files.
- Age Groups and Teams
- Managing Age Groups and Teams is a snap with our system - Easily create or modify age groups, specify the registration fees for Students and Non Students, specify various restrictions to Age Groups and Teams as you see fit. It is also very easily to allocate who the Age Managers are, as well as Team Managers, Team Coaches, and Team Referees or Umpires....
- Adding Players to a team is painless. The program will list players in the same Age Group as the team that are not assigned to a team - you click on the players name and then click on the Add to Team button and that is it!
- Player Information
- A wealth of information is available to be collected during registration and built upon during the time the player is within the club. This information can be invaluable to the club. For example, optionally, we can collect Parents Occupation so if the club needs a handyman to do some work, you can use a club member - we also collect and make availble Player Medical conditions, which can be printed on the players ID cards if required...
- Information collected is targetted as required by the club or it's association. Additional information can be collected, or if not required, can be removed from the registration screens from within the club config screens
- Club Emails and SMS
- The heart of any successful club is it's ability to communicate well with it's members. With MyCluMate, you can easily send an email to the appropriate groups of members quickly and easily. Just construct you email, click send, and choose the group(s) you want to send it... unpaid members, last years members, team managers or coaches.. and then further reduce the lists by only including the Age Groups you require....
- No longer do you have to worry about keeping a separate list of email addresses, as the emails dynamically built from the data in the system. Choose your target audience, and hit send...
- Reports and Statistics
- As well as the standard reports and Statistics that are constantly being added to as clubs realise the potential of the information available, we provide you with the ability to select and export the data into your favorite spreadsheet program.
- Lots of reports are available such as: Players Left the Club & Joined another Players Joined the Club from another Players Registered in Multiple Clubs Officials who haven't signed WWC Players not assigned to a Team Teams that are in Need of Players Statistics of players within Age Groups Players that have not paid. - Accept Credit Cards Online
- We can provide you with a choice of Online Credit Card facilities to suit both large and small clubs alike. Using the Verisign Gateway Solution together with your Banks Internet Merchant Account is the perfect solution for large clubs with 700 or more players, whereas for smaller clubs we can utilise PayPal. Once payment is confirmed, the players Payment Status is updated so there is nothing left to do except put the player in a team....
- Accept Credit Card payments online using a secure Gateway and your Internet Merchant Account, our shared Merchant Facilities or just use PayPal
- High Quality Data Validation
- Our validation routines have been continuously improved upon over the years to the point that data input is generally very clean. Player Ages are validated, email addresses, phone number fields accept only numerics. For younger players, parent contact details are also required as well as ticking the acceptance of the clubs Terms and Conditions...
- High Quality validation at registration time ensures that the club can communicate effectively with it's members throughout the system...
- Family Discounts
- Most clubs have some form of family discount, or discount scheme built around some other area that helps to make the club distinct from other clubs. We have a number of discount schemes available for you to choose from, some simple, some more complex. If your clubs discount scheme is not one that we currently support we will add it to the system for you, as the system needs to work for you, not the other way around.....

- Include the Data you need
- The system can be configured to include or exclude data that is relevant to your club. Some clubs want to know the school that a child is likely to attend NEXT year as well as this year (ie if their season spans 2 school years), others don't need school information at all. With MyClubMate, you choose....
- If there is information your club or association wants to capture that currently isn't in our system, we will generally add the facility for you, free of charge...
- Fully Mac Compatible
- Of course, the online registration system is open to everyone, include Mac Users, Windows users and Linux users. Internet Explorer, Safari, Firefox are all compatible with the Online Registration System.
- Due to the fact that some of the club admin functions are extremely complex and ahead of their time, a few functions do not work with some older versions of OSX for Macs.
- Optional Team Registrations
- Some clubs allow, or even encourage, Team Registrations. If you want it, you can have it, it is optionally available at no extra cost. In addition, the system can be configured to automatically send "Invite Notifications" to players that are invited to join the team, or you can go with a simple Team Password, whichever suits you best...
- When Team Registrations are active, you can also allow Players the choice to register even if they aren't associated with any team, or restrict it so that a player can only register if they have a team to play in....
- Optional Email Notification
- Optionally, within the Club Config settings, you can set the Online Registration modules to email the club registrar any time a player registers or reregisters.
- This can be extremely useful after the bulk of registrations are over....

Offline Registration
Use our Windows based software to run your club registration days in locations with no internet access.
Even if you have no internet access players can register electronically and your data can be sync'ed with your online version at the end of the day

Age Managers

Team Managers & Coaches
Team Managers and Coaches have access to a separate area to login to where they can manage and communicate with their team and other Team Managers in the same Age Group.
Team Managers have access to a number of areas, restricted to their own teams. Clubs can optionally allow Team Managers to have access additional functionality such as being able to have a Team webpage, update contact details of players in the team, and to SMS the team.

Lots of groupings puts your club in control. Send emails to members that haven't yet paid, or haven't reregistered. Send emails to all Team Managers of Junior Teams, all Referees of all Senior teams or your Ground Controllers... the choice is yours.

Various search options are also available (ie by name, emailID, phone number, ID number) making it easy to find a player without knowing what club the player plays for. Transferring players from clubs DB to associations DB happens automatically, behind the scenes, without you doing anything.
We have an online competition admin system which is second to none. Clubs can grade their teams. Associations can either use the auto division allocation program (for example for SSGs) or "Drag and Drop" teams into Divisions. Auto Generate a full draw in minutes using a choice of 3 different draw templates, specify the Date Round 1 is played and the system can auto allocate the dates for all other rounds and then generate times and locations for the whole draw in just a few clicks. Games can even be allocated to grounds closest to where the players in the "home" team live!!
